As we attend industry tradeshows, there’s no doubt the talk of the town is all about finding ways to leverage AI in customer communications management operations. In fact, at the most recent Document Strategy Forum conference, every presenter addressed this as it related to their respective areas, from page composition to data security practices, production automation, and even mail and postage strategy.
But are AI tools accessible to everyone for common use secure?
The short answer is no. In the recent communication to the thousands of employees at Google, leaders cautioned staff of the nature of what content and prompts they submit to AI tools like ChatGPT. AI is constantly improving under a structural design that leverages machine learning, retaining the info we insert to constantly improve its future output. Anything put in, essentially, is saved, digested, and can be regurgitated to another user to create related prompts.
Why is this a risk for businesses?
When you are using open-source AI tools, the more detailed the prompt, the better the output. Social influencers and content creators are constantly producing lists of precise prompts, including details a user should provide on the front end, to maximize the value of the machine’s output. However, users are being cautioned about sharing trade secrets, the organizational ‘secret sauce’ of competitive differentiators, and confidential data. The info we put into a prompt is retained and used by the machine to improve response quality in the future. Your business’ confidential information could be shared to other users, possibly competitors, searching for similar output.

Our marketing team is constantly looking for new ways to leverage AI to help maximize our efficiency, although we would caution against relying on its generative capabilities. Our rule of thumb is: if company information can be publicly posted, like a high-level brochure, video commercial, or website copy, then there is less risk in leveraging open-source AI. However, if your prompt includes information we generally would not share externally with clients, competitors, or the marketplace, it should not be entered into an OpenAI platform like ChatGPT. The AI behind this content generation cannot verify the accuracy or legitimacy of what it produces, nor can you confirm in any way what data was used to produce it.
