Quick Guide to the Venture Branded Documents Teams Channel

Did you know that Venture Solutions has a Teams channel full of officially branded documents for employees to use?

Whether you’re a seasoned expert in using this resource or just learning about it for the first time, here’s a quick guide to what the channel has to offer and the new Venture Solutions look we’ve introduced for 2023.

Where to Find the Channel

You can access the branded documents channel through your Teams app or directly from SharePoint.

Within Teams, go to your Teams tab and find the channel labeled “Venture Branded Documents.” The Files tab will take you to a list of folders where you can browse through all sorts of official templates, marketing collateral, and presentation decks you can use for internal or client-facing communications. From here, you can download individual files or use the “Open in SharePoint” option in the top menu to access the repository in your browser.

To access within SharePoint, you can select the “My Sites” button in the left side-panel and find a link to the Venture Branded Documents site. (If you have never accessed SharePoint, you can do so through the browser version of Microsoft 365 using the app launcher in the top left of the window.) If the site is not available in your following or recent lists, you can also use the search bar at the top of the page to find it for the first time, then select the star to follow the page and save it for quick access in the future. These files are available within the Documents section of the site.

What Documents Are Inside

Some examples of what you might find most helpful in the repository:

  • Banners for LinkedIn cover photos and emails
  • Basic Word documents, bid sheets, and letterhead
  • Master deck for client presentations
  • Sell sheets and case studies for specific verticals
  • How-to guides for updating your email signature
  • Guides for identifying ideal prospective clients that are a good cultural fit

How to Use the Documents

Make sure you are only using the most up-to-date version of a Venture-branded document. This is so we can present a consistent and united brand identity in all official communications. If you have a version you’ve been using, please double check the site to see if an updated version is available. You can also submit a request to the marketing team if you know of any documents that need a refresh. Remember, Venture Solutions offers a digitally transformed customer communications management experience to our clients, so we need to present ourselves as an example of what that transformation looks like.

The documents within this channel are officially approved templates you can download and reuse or customize for specific clients. If you are going to make any edits to a document, you must save a copy to your own computer or OneDrive/SharePoint before making any changes within the file. Otherwise, your changes will be applied to the master template, and the file will need to be reverted to its last approved version, potentially causing you to lose your edits.

Because these documents have more advanced graphics added to them than a basic, unformatted document, it is usually easier to work in them using the desktop app rather than the browser version. SharePoint tends to default to opening these files in the browser, but you can easily switch to desktop mode in an open document by selecting the “Editing” button with the pencil icon in the top menu bar and selecting “Open in Desktop App” from the drop-down. The document should open automatically in the desktop app, and you can then close the browser window.

You can also open documents that have been shared via Teams or as an Outlook attachment in desktop mode. In Teams, you can right-click the link for the file, hover over “Open in,” and select “Word desktop app” or whichever Microsoft program the file is meant to be opened with. For email attachments, simply right-click the attachment and select “Open.”
